(hereafter referred to as “Sierra Division,” “Company,” “we,” “us,” or “our”) operates the art challenges platform at challenges.sierradivision.com (the “Services”), where members sign in with Discord, enter art challenges, post work-in-progress updates and finished submissions, and take part in a public creative community. We are committed to safeguarding the privacy of the members and visitors who use our Services. This Privacy Policy outlines our practices regarding the collection, use, and sharing of your personal information. By accessing or using our Services, you consent to the procedures described in this policy. You acknowledge that this Privacy Policy is part of our Terms of Use, and by accessing or using our Services, you agree to be bound by its terms. If you do not agree to these terms, please do not access or use our Services.
We reserve the right to update this Privacy Policy at any time. Changes will be effective immediately upon notice, which may include posting the revised policy on our website. Your continued use of our Services after such modifications constitutes your acknowledgment and agreement to the updated policy.
2. Personal Data
We collect two types of information: Personally Identifiable Information (information that identifies you as an individual) and Non-Personally Identifiable Information (information that does not identify you individually).
Personally Identifiable Information
We do not run our own password-based accounts. You sign in with Discord, and through that sign-in - and the periodic checks we run to keep your access current - Discord provides the following information to us:
- Your Discord user ID.
- Your Discord username and display name.
- Your email address (and whether Discord has verified it).
- Your avatar image.
- Your membership of, and roles within, the Sierra Division Discord server. We use this to determine your access level on the platform and to confirm you are part of the community before you participate.
You may also voluntarily provide an optional profile bio. Alongside this, we keep account records tied to your participation - such as your access level and community roles (derived from your Discord roles) and the public content you publish (see “Your Content and How We Use It” below).
Non-Personally Identifiable Information
When you browse and use our Services, we automatically collect limited technical information that does not, on its own, identify you, such as:
- Your IP address and approximate region.
- Your browser type, device type, and operating system.
- Pages viewed, referring pages, and general usage patterns on the site.
- Cookies and similar browser storage used to keep you signed in and, where you have consented, to measure how the Services are used (see the Cookies section).
This information is compiled and analyzed on both an individual and aggregated basis to improve our Services and user experience.
3. Data Collection
We collect data when you:
- Sign in with Discord.
- Create or edit your profile, including an optional bio.
- Post submissions, work-in-progress updates, and comments, or like and follow other members.
- Upload images and 3D models to attach to your posts.
- Browse or view our website via browser cookies.
We may also collect data at other points on our Services where we indicate that information is being collected.
4. Data Sharing
We do not sell, trade, or rent your Personally Identifiable Information. Your public content is visible to anyone who visits the Services, and we share information with the following service providers and parties only as needed to operate the platform:
- Discord: We use Discord for sign-in and to confirm your community membership and roles. Discord processes your data in accordance with its Privacy Policy.
- Cloudflare: We use Cloudflare to host and deliver the images and 3D assets you upload. Cloudflare processes this data in accordance with its Privacy Policy.
- Analytics and Marketing Providers: Where you have consented, we use third-party analytics and advertising tools as described in the Cookies section below. These are loaded only after you opt in to the relevant category.
- Legal Authorities: When required by law, court order, subpoena, or to cooperate with law enforcement investigations. We may report activities we believe to be unlawful.
We require service providers to handle your data in line with this policy and applicable law, and we do not sell your personal information.
5. Your Content and How We Use It
The Services are a public, community platform. The submissions, work-in-progress updates, images, video links, 3D embeds, comments, likes, and follows you create are part of how the community works.
- Your content is public. Anything you post is visible to other members and visitors and may be indexed or copied by third parties outside our control.
- You keep ownership. You retain ownership of the work you post. This policy does not transfer your rights to us.
- You grant us a license to showcase your work.By posting content, you grant Sierra Division a non-exclusive, worldwide, royalty-free license to host, store, reproduce, resize and reformat, display, publish, and share your content in order to operate, showcase, and promote the challenges and the community - both on the Services and on Sierra Division’s own channels, including social media and Discord. When we share your work this way, we credit you by your display name and, where practical, link to your profile.
- You are responsible for what you post. You must only post work you have the right to share, and you are responsible for crediting any sources or references you use.
6. Data Retention
We retain your personal information only as long as necessary to operate the Services or as required by law. You can delete your account at any time from your account settings. When you do, we soft delete and anonymize your data rather than removing every record, so that public threads and challenge history stay intact:
- Identifying details on your account - your Discord ID, display name, avatar, email address, and profile bio - are scrubbed, and your username is replaced with a generic placeholder.
- The text of your submissions, work-in-progress posts, and comments is replaced with “[deleted].”
- Your Discord sign-in link is removed, we make a best-effort attempt to revoke the associated access with Discord, and your active sessions are ended.
- Non-identifying structure (for example, that a post once existed in a thread) may remain so that conversations other members took part in are not broken.
Residual copies may persist in backups for a limited period or where we are required to keep them by law.
7. Data Protection
We implement industry-standard safeguards, such as encryption in transit and access controls, to protect your information from unauthorized access or disclosure. Access to your data is restricted to authorized personnel and service providers. However, no digital transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Updating or Correcting Your Information
You can edit your profile information, including your bio, directly in your account settings on the site. Information sourced from Discord - such as your display name and avatar - refreshes automatically the next time you sign in, so updating it on Discord updates it here. For any other request relating to your personal data, contact us at [email protected]. We may require identity verification before acting on a request.
9. Your Choices
- Cookies:You can manage non-essential cookies through the “Cookie Settings” link in our footer, or modify your browser settings to accept, reject, or be notified about cookies. Rejecting cookies may affect the functionality of our Services.

16. Challenges Community and Moderation
The Services are a public community where members share and discuss creative work. A few things to keep in mind:
- Content you post to submissions, work-in-progress threads, comments, and other public areas is visible to others and may be collected by third parties. Such activities are beyond our control, and this policy does not apply to information that others collect about your public posts.
- Sign-in is handled through Discord, so the security of your account depends on the security of your Discord account. Protect your Discord credentials accordingly.
- Our moderators may edit, move, or remove content and may suspend or remove accounts that break our community guidelines. To keep the community safe and to enforce those guidelines, we keep records of moderation actions, reports, and bans.
17. Third-Party Links
Our Services may link to third-party sites. We are not responsible for their content or privacy practices. In addition, work-in-progress posts may embed third-party media - such as YouTube or Vimeo video and Sketchfab 3D viewers - which may set their own cookies and collect information under their own privacy policies when you view them. We may update this Privacy Policy to reflect changes in our Services, legal requirements, or business practices.
